We're currently looking for a Senior Virtual Executive Assistant for our Business Advisor.

You're an enthusiastic, solutions-oriented professional who thrives in a fast-paced, entrepreneurial environment. You excel at managing a wide variety of tasks, are highly proactive, and bring positivity to your work. You’re fluent in English, Spanish, and ideally French, or at least bilingual with a strong willingness to improve language skills. You have a "can-do" attitude and a knack for turning problems into solutions with minimal guidance.

Communication Style

- Comfortable handling all calls on our advisor's behalf (both work and personal), including making outbound calls and liaising with contacts.
- You can represent him confidently, ensuring communications are professional and well-handled.
Core Responsibilities:
Day-to-Day Organisation
- Manage multiple email inboxes, calendars, and schedules.
- Coordinate work and personal travel arrangements.
- Research and present clear, actionable insights on various topics.
- Liaise with household contacts, such as a handyman or cleaner, and manage family-related tasks.
Follow-Up and Communication
- Track project progress and chase responses from others.
- Handle correspondence professionally, ensuring tasks move forward on time.
- Join occasional video calls to take notes or follow up as needed.
Ad Hoc Tasks
- Tackle a range of random tasks, from admin prep to coordinating with freelancers.
- Manage budgets for specific projects, such as hiring temporary help on platforms like Upwork.
Support Our Advisor's Current Focus Areas
- Assist with personal and family-related tasks.
- Support our advisor's work as an investor and advisor.
- Handle admin and accounting preparation for holding companies and other ventures.
Future Projects
- Be ready for increased responsibilities as tasks ramp up with new projects in 2025.
Working Arrangement
- Part-Time to Start: This is currently a part-time role (hours to be discussed). However, the role is expected to grow into a full-time position in the near future as new ventures take shape.
- Communication: Primarily via Slack, WhatsApp, and email; minimal meetings or phone calls unless necessary.
- Budget Management: Freedom to hire freelancers or external support for specific tasks.
The Ideal Candidate Will Have
- Languages: Fluency in English and Spanish is essential, with French highly preferred.
- Tools: Proficiency in modern tools like Slack, Google Workspace, and scheduling software.
- Flexibility: Willingness to take on varied tasks and learn on the job.
- Independence: Able to operate without micromanagement, adapting to changing priorities seamlessly.
