We are looking for a highly organized and proactive Personal/Executive Assistant with experience in start-ups or small agencies to support our CEO and our dynamic executive team. The ideal candidate will be fluent in both Spanish and English, possess exceptional communication skills, and thrive in a fast-paced environment.
This role requires impeccable attention to detail, the ability to multitask effectively, and a strong sense of discretion and confidentiality.
Responsibilities
Executive Support:
- Provide comprehensive administrative support to the executive team, including managing calendars, scheduling meetings and/or events, and coordinating travel arrangements.
- Assist in preparing and organizing materials for meetings, presentations, and conferences.
- Act as a liaison between the executive team and internal/external stakeholders, ensuring efficient communication and follow-up on action items.
- Support project managers with administrative tasks, such as scheduling meetings, documenting meeting minutes, and tracking project milestones.
- Collaborate with team members to ensure seamless coordination and execution of projects, including managing timelines and deliverables.
Office Management:
- Assist the Office Manager with:
- The onboarding process for new hires, including coordinating orientation schedules and preparing necessary documentation.
- Preparing facilities for scheduled events and arranging refreshments, if required.
Data Management and Documentation:
- Maintain and update electronic and physical filing systems, ensuring documents are organized and easily accessible.
- Assist in the preparation and distribution of reports, presentations, and other documentation as required.
Requisitos:
Requirements
- Bachelor's degree preferred, or equivalent work experience.
- Proven experience as a personal/executive assistant, preferably in a start-up or small agency environment.
- Fluency in both Spanish and English, with excellent written and verbal communication skills in both languages.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Excellent time management skills and ability to multitask and prioritize work.
- Strong organizational skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Discretion and confidentiality when handling sensitive information.
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Adaptability and willingness to take on new challenges and responsibilities as needed.
- A valid driving license (ideal, not a must).

- Spanish (mandatory)
- English (mandatory) Catalan (highly recommended).
